Position Overview
We are seeking a proactive and highly organized Marketing & Contracts Coordinator to support both divisions. Reporting to the Sales Support Manager, this role is responsible for the full lifecycle management of marketing initiatives and contracts, ensuring seamless execution that enables our sales team to perform at a high level.
Success in this role requires exceptional attention to detail, strong initiative, and the ability to manage multiple priorities in a structured, deadline-driven environment. The ideal candidate is professional, accountable, and confident taking ownership while directly supporting sales representatives and cross-functional teams.
This role is best suited for a self-starter who thrives in a high-expectation environment and takes pride in ownership, follow-through, and results.
Key Responsibilities
Marketing Ownership & Execution
- Own the full lifecycle of marketing initiatives – from concept development and internal coordination through final delivery and execution.
- Lead the creation and revision of marketing materials (brochures, spec sheets, manuals, product assets).
- Drive product launches, trade shows, and sales-driven marketing initiatives, ensuring timelines and approvals are met.
- Take full ownership of photoshoots and videoshoots – including planning, scripting, storyboarding, scheduling, cross-functional coordination, and internal approvals.
- Serve as the primary liaison between Sales and internal departments to bring marketing requests to execution efficiently and professionally.
Contract & Commercial Management
- Manage the complete contract lifecycle – from initial receipt and review through redlining, negotiation coordination, submission, and final execution.
- Lead RFP and prequalification submissions, coordinating across departments to gather required documentation and ensure accuracy.
- Maintain organized records, ensure compliance, and drive deadlines to completion.
Additional responsibilities may be assigned as required to support the Sales Support function and broader business objectives.
Qualifications & Experience
Required
- 1-3 years of experience in marketing coordination, sales support, contracts administration, or a similar fast-paced environment.
- Exceptional organizational skills with proven ability to manage multiple projects, deadlines, and competing priorities simultaneously.
- Strong written and verbal communication skills with a high level of professionalism.
- Demonstrated attention to detail and commitment to accuracy.
- Ability to take direction, receive feedback constructively, and execute independently with minimal supervision.
- Proactive mindset with strong ownership and accountability.
- Demonstrated passion for learning about new products and the ability to quickly absorb technical product knowledge.
- Advanced proficiency in Microsoft Office, particularly Word and Excel.
Preferred
- Bachelor’s degree in Marketing, Business, Communications, or related field.
- Experience supporting or leading product launches from planning through execution.
- Experience reviewing or coordinating contracts, RFPs, or commercial documentation.
- Strong technical aptitude and comfort working within corporate software environments (Microsoft 365, shared drives, project management tools, internal systems).
- Experience supporting sales teams in a manufacturing or healthcare environment.
- Experience working cross-functionally with multiple internal departments.
